Freelance Photographer & Videographer Agreement

1. Role & Scope of Work

The Contractor agrees to perform photography, videography, and/or related creative services for weddings and events as assigned by P&S Collective.Assignments may include, but are not limited to:

  • Event coverage (photo or video)

  • Second shooting

  • Assisting lead photographers

  • Culling/editing (when applicable)

  • Travel required to and from locations

2. General Expectations

Contractor agrees to uphold the standards and brand values of P&S Collective, including:


Professionalism & Conduct

  • Arrive on time, prepared, and dressed appropriately for weddings and events.

  • Maintain courteous and respectful behavior with clients, vendors, and team members.

  • Follow timelines, shot lists, and direction from the assigned lead photographer or P&S Collective management.

  • The Contractor represents PS Collective while performing services and agrees to communicate with clients under the PS Collective brand. If clients request social media or contact information, they must be directed exclusively to PS Collective. The Freelancer may not promote their personal brand in connection with this work and agrees to uphold the company’s professionalism and client experience at all times.


Creative Expectations

  • Deliver consistent, high-quality work aligned with P&S Collective style guidelines.

  • Use reliable, professional equipment suitable for weddings and low-light environments.

  • Backup all files and deliver raw images/video within the agreed-upon timeline (typically same-day or next-day unless otherwise stated).


Communication

  • Respond promptly to messages regarding assignments.

  • Notify P&S Collective immediately if unexpected delays, emergencies, or issues occur.

3. Compensation & Payment

Hourly Tracking

All hours must be logged using Toggl, including:

  • Working hours on wedding day

  • Travel time (when approved)

  • Mileage driven

  • Editing hours (if assigned)


Mileage

Mileage will be reimbursed at the pre-approved rate (Company may update rate as needed). Contractor must submit accurate mileage logs in Toggl.


Payment Schedule

Payouts are processed within 7–14 business days after:

  • Submission of Toggl hours

  • Delivery of complete galleries/video files

  • Submission of mileage logs and any required forms

4. Cancellation Policy

If the Contractor cancels an assignment within 72 hours of the event, the following applies:


A. Last-Minute Cancellation Fee

Contractor will be charged a $500 cancellation fee.


B. Allowable Exception

The cancellation fee is waived only if:

  • Contractor provides a replacement photographer/videographer

  • Replacement is approved in writing by P&S Collective prior to the event


If no approved coverage is found, the $500 fee will apply and may be deducted from the Contractor’s next payout.

5. Equipment Responsibility

Contractor is responsible for using their own functioning equipment unless otherwise agreed.


Damage to Company Equipment

If P&S Collective provides equipment and the Contractor damages it due to negligence or misuse, the Contractor agrees to pay 20% of the repair or replacement cost.


This clause covers (but is not limited to):

  • Cameras

  • Lenses

  • Audio equipment

  • Lighting gear

  • Hard drives

  • Accessories


P&S Collective will provide proof of damage and repair/replacement costs.

6. File Delivery Requirements

Contractor agrees to:

  • Deliver RAW files within agreed timelines

  • Maintain backups until P&S Collective confirms receipt

  • Not use, post, or share images/video without explicit permission from the Company


All files created during contracted work are the exclusive property of P&S Collective.

7. Independent Contractor Status

Contractor acknowledges they are not an employee of P&S Collective as such:

  • Contractor is responsible for their own taxes

  • Contractor is responsible for their own insurance

  • Nothing in this Agreement creates an employer-employee relationship

8. Confidentiality

Contractor agrees to keep all client, business, and proprietary information confidential, including:

  • Client contact information

  • Pricing structures

  • Company workflows and editing systems

  • Private event details

9. Termination

P&S Collective reserves the right to discontinue working with the Contractor at any time for:

  • Unprofessional conduct

  • Repeated lateness or cancellations

  • Poor quality of work

  • Failure to follow company standards

10. Acceptance

By signing below, the Contractor agrees to all terms listed in this Agreement.
